Change of itinerary and cost:
Itineraries and costs quoted are based on a minimum number of students. Unless this minimum number is reached the tour may not go ahead and you will be refunded your deposit in full.  If fewer participants book but we still intend to travel this may result in a change to the costs and/or itinerary. Prices advertised for travel, accommodation and/or activities may change due to operator circumstances outside our control, up until the time of payment.

Application
NZ Study Tours must receive the program deposit and application form before the program application deadline, in order for this booking to be accepted. There is a possibility that maximum numbers are reached prior to application deadlines and applications may close.  Please make a special application if this is the case and we will do our best to accommodate your request but will not guarantee a placement.

Participant Eligibility and Physical Requirements

• You must be a New Zealand citizen or permanent resident of New Zealand.
• If you hold a foreign passport and require a visa to enter Japan, it is your responsibility to obtain the appropriate visa. We require a copy of the visa at least two weeks prior to the programme commencement date. Visa application fees are not included in the programme fee.
• This programme involves a significant amount of walking, the use of public transport, carrying personal luggage, navigating stairs and busy public areas, and participating in a full daily itinerary. Participants must be physically fit, independently mobile, and capable of managing these activities without individual physical assistance.
  The programme is not suitable for participants who require ongoing mobility assistance, one-to-one physical support, or assistance with normal day-to-day activities. Parents and guardians are responsible for ensuring that the student is physically capable of participating safely and independently in the programme.

Medical
On the application form please inform us of any medical condition, medical history or medications that is taken.  In particular asthma, diabetes, heart conditions and allergies (especially to wasp/bee stings and any food allergies).

Cancellations and Refunds
Should you need to cancel the tour for any reason cancellation charges will apply (this includes Covid-19).
NZ Study Tours is not responsible for any incidental expenses that you may have incurred as a result of the cancellation such as flights and other costs.

The following cancellation charges will apply after any airline, transport, activity or operator cancellation charges have been covered.

• The deposit made on application is non refundable
• More than 60 days before departure, 20% cancellation fee
• 59-21 days before departure, 40% cancellation fee
• 20-10 days before departure, 60% cancellation fee
• less than 10 days before departure 100% cancellation fee

NZ Study Tours is under no obligation to refund money to you where:

• Circumstances arising beyond NZ Study Tours control that require alternative arrangements or cancellations to be made to ensure the safety and enjoyment of your tour.
• You miss any part of the tour (including sightseeing), do not use accommodation, or leave the tour for any reason after it has started.
• Extra payments were made for flights or other transportation through NZ Study Tours to travel to and from the tour.
• The refund policy of the airline or transportation operator applies.

Travel Insurance
This is compulsory and a Travel Insurance certificate must be submitted prior to travel.  It is recommended that you have a policy with unlimited medical cover and  strong repatriation cover. NZ Study Tours is not liable for any lack of insurance on your behalf.
